Health and Safety Policy Checklist:
You must site your resources when forming your policies to ensure you are using current legislation and have quick access to the original law or requirements. This also helps you when it comes time to make updates to your policy as you can then reach out to the previous sources for any updates they have also made and amend your policy accordingly.
Take away the WHY?
One of the largest hurdles in implementation of a new policy or protocol is showing "proof" it is required and it is not "just because" I want it that way. Having noted resources takes the guessing out and makes your policies easier to discuss and implement based of facts and their direct source.
IF IT IS NOT IN WRITING IT …. DOES NOT EXIST
This is extremely important in business, policies and protocols protect the business as well as the workers with proper information being trained, recorded and written to review as needed.
Written policies and protocols ensure a collaborative team approach where everyone has the same training and knowledge of office expectations and law. When reviewed with staff it allows for opportunity to improve office safety and awareness.
Office Consultation Checklist
When I come for an initial consultation, I go through a similar checklist to evaluate your office status and needs. Together we can build a strong foundation that can be implemented and maintained to provide a safe workplace for your employees and clients.
This is top priority in a Dental Clinic and only works when everyone on your team is trained and instructions are clear and understood. Having a manual is step 1 of many to ensure your practice not only MEETS required standards set out by all of the regulatory bodies and law but also equips the clinic with the proper baseline references and guidance to deal with real time emergencies in the workplace. Once a manual is in place it is required that all staff including contracted staff (like cleaning contractors, temporary hires and more) are fully trained and qualified to work within the manuals requirements.
Step 2 is Education! In your manuals you should have external resources with additional learning and evidence based decision making to expand ones knowledge of the rationale behind all IPAC decisions. IPAC training and reassessment is required at minimum yearly!
Step 3 is enforcing your manual. Telling staff to understand and follow a guideline is one thing but management must observe and record that the manual is being followed and requirements are being met. Any lapses in IPAC are taken very seriously and need to be immediately addressed. Evaluation of the IPAC program in your office is a requirement for quality assurance and allows regulatory bodies to examine the protocols/policies in place and essentially ensure public safety! IPAC is full of record keeping and logs which need management review! In larger clinics it is recommended to have one IPAC representative in addition to a Health and Safety representative outside of the management position to increase quality assurance! Having a team approach will broaden the view of overall compliance of each manual and ensure any concerns within these programs are found faster and spread the workload of these additional responsibilities reducing employee burnout.
Every Dental office is required to have a Infection Prevention and Control Manual (IPAC) in their office. Composing an IPAC manual can be very time consuming , but once complete can be easy to maintain and update as required.
Here are a few IPAC topics you require in your Manual:
Break it down:
Every category above has multiple subsections that go into more specifics for faster reference when needed. Splitting up and categorizing the information to ensure that any employee can get quick access to the answers they need in any situation is the goal of the manual. A organized manual is important for ensuring accomplished understanding by all readers. Additional appendices and resources need to be added for a more in depth answers or source guidance.

It is very important to have your team working together as a united front, not only to reduce work stress levels but to also boost your productivity and boost your business.
Sometimes teams lose their strong connection or struggle with interpersonally differences. The goal of team building is to use each team members strengths to help and compliment each other in a positive and fun environment.
Team building can be as SIMPLE as having more team meetings! Making sure all staff is trained together so they can hear the answers and ask the questions all at the same time is imperative! Some teams are too large and offices often make the mistake of separating the team into groups with similar duties or positions. This is not advised as it can segregate or alienate another group, create unwanted competition or different views on the trained material. Take the time and find the space that can accommodate the entire team, you wont regret it!
It is very important to get out of the office for team activities where possible. Most of our days are spent with our "Work Family" than home. It is important to build stronger relationships as a team by meeting outside of the work environment. Having a annually bowling tournament, glow in the dark mini putt, or a blowing off the steam with a game of laser tag is a great way to spend some fun time with your work family!
One of the main failures of teamwork is lack or break in communication. Communication building helps develop useful skills that help every team member see how words can be interpreted differently and the best way to communicate with their peers. Finding each others strengths and weaknesses in communication is key to building a stronger relationship between team members and ensuring the office has a successful foundation.
Team engagement is so important to get them motivated and maintain their interest within the business. When your staff are excited about what they do they will transfer this excitement over to your clients and in turn promote your business.
Team members always have questions and possibly a few suggestions that could impact your business in such important ways. Make an Anonymous box or area where employees can ask their questions or add suggestions without feeling on the spot. This is also very useful before meetings to allow team members to voice any concerns/questions without singling out others or themselves.
Education and Training is very important for all team members. When you increase your teams education you increase their potential and as a result you grow your business further. Education can be split into specific teams within their field/job duty, but the more you can engage all the members in the same experience the better.
